Overview and scope
MindHere Consulting LLC owns and operates LogiTraq. In this Privacy Policy, “MindHere,” “LogiTraq,” “we,” “us,” and “our” refer to MindHere Consulting LLC. This Policy explains how we handle personal information when you visit logitraq.com, submit a contact or pilot request, communicate with us, or interact directly with LogiTraq in a business context.
This website is intended for business users. It is not currently a customer login or payment surface. If your organization receives access to a LogiTraq pilot, sandbox, or hosted product, the applicable service agreement, order, and data processing terms may provide additional or different details and will control where they conflict with this website Policy.
We act as the responsible business or controller for website inquiries, account administration, security, and our own business records. For operational data that a customer submits to the LogiTraq product, we generally act as that customer’s service provider or processor and follow its documented instructions. Product users should ordinarily direct requests about customer-controlled data to the organization that provided their access.

Information we collect
Information you provide
Depending on how you interact with us, we collect:
- Contact details, including your name, work email, company, and optional phone number.
- Business details, including operation model, location count, fleet size, current software or workflow, and the topic of your inquiry.
- Communications, including messages, pilot notes, questions, feedback, and other information you choose to send.
- Relationship records, such as meeting, evaluation, support, contracting, and preference information created as we respond to you.
Information collected automatically
Our website, hosting, form-processing, and security infrastructure automatically receives ordinary request data needed to deliver and protect the site, such as IP address, request time, requested URL, browser or device headers, referring page, and security or error events.
When you submit a contact or pilot request, the information in the form is transmitted from your browser to a form-processing provider acting on our behalf. That provider receives and stores the submission, applies security and spam controls, and routes it to authorized members of the LogiTraq team. It may also receive request metadata such as IP address, browser type, access time, and referring page to provide and protect that service.
When analytics is enabled, Google Analytics may collect online identifiers, pages viewed, approximate location derived from IP address, browser and device information, referral information, and interaction or session data. We configure analytics not to enable Google signals or advertising-personalization signals. See Cookies and tracking below.
Information from other sources
We may receive business contact information from your employer or colleagues, a referral partner, a public professional source, or a service provider you direct to communicate with us. We may combine it with information you provide when doing so is reasonably necessary for the business interaction.
Information not requested on this website
Do not submit card or bank credentials, government identifiers, passwords, protected health information, precise driver location, customer records, or other sensitive or regulated information through the public contact forms. The public site does not request or process payments.

How we use information
We use personal information to:
- respond to inquiries, schedule conversations, assess product fit, and administer pilot or customer relationships;
- provide, secure, support, troubleshoot, and improve our website and services;
- understand site performance and engagement with consent where required or as otherwise permitted by law;
- send requested service, product, security, or business communications;
- detect, investigate, and prevent fraud, abuse, security incidents, and technical failures;
- maintain business records, enforce agreements, establish or defend legal claims, and comply with law; and
- evaluate or complete a financing, reorganization, acquisition, merger, or sale involving the business.
Legal bases where applicable
Where law requires a legal basis, we rely on your consent for optional analytics in regions where prior consent is required and on our legitimate interests in measuring and improving our B2B website where analytics may operate without prior consent. We also rely on steps requested before entering a contract and performance of a contract for business interactions; our legitimate interests in operating and protecting a B2B service; and compliance with legal obligations. You may withdraw consent or opt out of analytics at any time, without affecting processing that occurred before withdrawal.
Providing information through the public forms is voluntary. Fields marked as required are needed to submit and respond to the request; if you do not provide them, the form cannot be submitted, but you may contact us at [email protected] instead.

How we disclose information
We may disclose personal information to the following categories of recipients:
- Form-processing and communications providers that receive, screen, store, route, and notify us of contact and pilot requests.
- Infrastructure and security providers that host, deliver, monitor, or protect the website, including our hosting providers and Cloudflare.
- Analytics providers, currently Google Analytics, after you permit analytics or where prior consent is not required.
- Business service providers and advisers supporting communications, contracting, legal, accounting, insurance, or security work.
- Your organization or people you direct, when needed to handle the business relationship or when you ask us to do so.
- Authorities or other parties when reasonably necessary to comply with law, legal process, or valid requests; protect rights, safety, and systems; or investigate misuse.
- A transaction counterparty in connection with a proposed or completed financing, merger, acquisition, reorganization, or transfer of all or part of the business, subject to appropriate protections.
We do not sell personal information for money, and we do not use or disclose personal information for cross-context behavioral or targeted advertising. We do not knowingly sell or share the personal information of anyone under 18.

Retention and security
How long we keep information
We retain information only as long as reasonably necessary for the purposes described here. The period depends on the nature and sensitivity of the information, the status of the business relationship, security and support needs, applicable limitation periods, and legal, tax, accounting, dispute, or preservation requirements. Unconverted inquiry and prospect information is generally targeted for deletion or irreversible aggregation within 180 days after the last meaningful interaction and no later than 365 days, unless continued retention is requested, legally required, or needed for a dispute or security purpose. A legal hold may extend an otherwise applicable period.
Analytics retention is also subject to Google Analytics property settings. A cookie’s expiration does not necessarily determine the retention of analytics event data already sent to Google. Form submissions may exist in the form processor’s secured inbox and in notifications or business records available to authorized team members. Those copies are subject to the same retention criteria, provider controls, contractual obligations, backup cycles, and applicable legal requirements. Product and customer data follows the applicable customer agreement and documented retention schedule.
How we protect information
We use administrative, technical, and physical safeguards designed for the nature of the information, including encrypted transport, access restrictions, protected storage, service boundaries, monitoring, and recovery controls. No transmission or storage system is completely secure, so we cannot guarantee absolute security.

Your rights and choices
Depending on where you live and the law that applies, you may have rights to request access to or a copy of personal information, correction, deletion, portability, or information about collection, use, and disclosure. You may also have the right to withdraw consent, object to or restrict certain processing, appeal a request decision, and receive equal service when exercising privacy rights.
You can manage analytics through the footer control and opt out of non-transactional email by using an unsubscribe method in the message or contacting us. Because we do not sell personal information or use it for targeted advertising, there is no separate sale or targeted-advertising opt-out required for our current practices.
Submit a request
Email [email protected] or use our contact form and select “Privacy and data request.” Describe your request and your relationship with LogiTraq. We may need to verify your identity and authority before acting. An authorized agent may submit a request where law permits, but we may request evidence of authorization and direct identity verification. We will respond within the period required by applicable law.
If the information is controlled by a LogiTraq customer, we may refer the request to that customer or assist it in responding. We may deny or limit a request when an exception applies, such as security, fraud prevention, another person’s rights, legal obligations, or the establishment or defense of claims, and will explain the decision where required.
Where applicable, you may lodge a complaint with the data protection or privacy authority where you live, work, or believe a violation occurred. We welcome the opportunity to address your concern first. We do not use public form submissions to make solely automated decisions that produce legal or similarly significant effects.

Additional information
Children
LogiTraq is a business service and is not directed to children under 18. We do not knowingly collect personal information from children through the website. Contact us if you believe a child has provided information so we can review and delete it as appropriate.
United States processing
MindHere is based in New York, and website information is processed primarily in the United States. Some providers may process information in other countries where they or their subprocessors operate. If you access the site from another country, your information may be transferred to a country whose laws differ from those where you live. Where required, we rely on adequacy decisions, standard contractual clauses, or other appropriate safeguards for cross-border transfers. Contact us to request more information about applicable safeguards.
Third-party sites
Our site may link to third-party websites or services. Their privacy practices are governed by their own notices, and we encourage you to review them before providing information.
Changes to this Policy
We may update this Policy as our services, providers, or legal obligations change. We will post the revised Policy with a new effective date and provide additional notice when required. Material changes will apply prospectively unless law permits otherwise.
